REGULATIONS OF SERVICE

According to the articles of association, the Sports Club provides services in the public interest for the development of sports activities at different levels and paid services according to the price list and terms and conditions approved by the management board of the Sports Club. These regulations of service determine the procedure for providing services and the models of behaviour for all users of University of Tartu sports buildings and facilities.

 

1. SERVICES

1.1. The Sports Club provides paid services for youth and recreational sport (including Fitness Club) training and services for the use of sports buildings and facilities according to the price list and terms and conditions approved by the management board of the Sports Club as follows:

1.1.1. recreational sports are listed on the sport.ut.ee/harrastussport webpage and are held according to the training terms and timetable. If necessary, seek explanations about the content of the services from Sports Club customer service staff;

1.1.2. Health Sports and Fitness club pass includes group classes according to the timetable on fitplan.ut.ee and the use of athletics hall and gyms on the I, II and III floor. The client is responsible to accept and confirm our terms and conditions before purchasing the pass. Also, the client accepts receiving informational emails and reminders. Fitness club pass owners email address is the username for our booking system. If necessary, seek explanations about the content of the services from Sports Club customer service staff;
1.1.3. youth sports activities are coordinated through the Sports School. A learning contract is entered into with a representative of the Sports School student, upon which all learning and training activities will be based. The price list determines the price per month, half year and year of the academic year; If necessary, seek explanations about the content of the services from Sports Club customer service staff;

1.1.4. The Sports Club provides one-time rental services for the sports buldings and rooms according to the price list. Longer period rental services are agreed with written contract. The list of the Sports Club rental services can be found at sport.ut.ee/ruumide-uurimine. During competitions or public events there are no training activities in the relevant sports area and the head coordinator of rooms advises the replacement times. If necessary, seek explanations about the content of the services from Sports Club customer service staff;

1.1.5. Providing personal services in the premises of the Sports Club (massage, physiotherapy, personal training) can only be held under agreeeant with the health sports manager. The terms must be agreed with written contract and the provider of the service must follow the house rules. If necessary, seek explanations about the content of the services from Sports Club customer service staff;

1.2. In addition to paid services, the Sports Club provides additional services following the statute:

1.2.1. members of the University of Tartu are provided with the use of the athletics hall at Ujula 4 to perform sports activities according to the ‘Promotion of healthy lifestyles’ procedure;
1.2.2. top athletes studying at the University of Tartu and representing the University of Tartu Academic Sports Club are provided with the use of the sports buildings and facilities according to their level of skills and timetable;
1.2.3. University of Tartu student athletes who represent the university in the student competition system are provided with the use of the sports buildings and facilities as their timetable allows.

 

2. VALID PASS

2.1. A one time pass provides single admission to the sports hall or training if free places are available. One training time is either one group class, one recreational sports practice or a workout in the gym or athletics hall. A club card is not issued to a purchaser of a single ticket;
2.2. A10-time pass provides admission to the sports hall, group class, recreational sports practice or gym workout 10 times over a period of 60 days from the date the pass was purchased.
2.3. A pass issued for a fixed period provides unlimited admission to the sports hall or group training, if free places are available. In the case of Fitness Club group training, refer to the Fitness Club booking system manual, which can be found on the Fitness Club website;

2.4. A discount price applies to the client groups stated in the price list on the basis of a document proving the discount, the list and form for the presentation of which are stated in the price list;

2.5. The members of the fitness club may purchase passes from the website and the discounts will be applied after entering the personal identification code.

2.6. UT Sport+Elustiil pass includes unlimited access to the sports hall and I, II and III floor gyms, group classes and recreational sports trainings, if free places are available. In the case of recreational sports and group classes, refer to the Fitness Club booking system manual, which can be found on the timetable website;

2.7. The Sports School contract gives access to the youth sports activities according to the timetable.

2.8. All of the passes are valid for the time stated in the service and, in general, the period of validity is not extended unless there is a very good reason to do so (e.g. long-term illness or doctor’s orders).

2.9. A valid pass may be suspended after the first 7 days- A written notice to the health sports manager is needed and the Sports Club has the rights to ask for a proof of illness etc. needed and maximum of twice during a 6 month period for no more than 6 months in total.

2.10. Rental services for the Sports Club rooms and buildings is listed in the price list.

2.11. services that have been purchased will not be refunded.

2.12. A valid pass is needed to use the services of the Sports club. The services can be payed following the Sports Club official Document:

2.12.1. a bill provided by the from Sports Club customer service staff in the register (payed by cash or card)

2.12.2. a bill provided by the coordinator of rooms (payed by bank transfer only)

2.12.3. health sports services can be bought according to point 2.12.1. and from the web https://fitplan.ut.ee/ostma. Bills for the services bought from web are provided by the health sports manager if needed.

2.12.4. the till is closed 45 minutes before closing.

 

3. SERVICE

3.1. When coming to train and/or study, users of a sports building:

3.1.1. show the administrator their Sports Club card;
3.1.2. and/or provide the administrator with information about the use of the desired room;
3.1.3. and/or buy a pass. The client pays for the chosen service by choosing a beforementioned payment method that suits the customer best. For a discounted price the client needs to provide a document to proof the discount status.

3.1.4 A user of a sports building receives a key to a locker and/or a chip to use during their training. Removing a locker key and/or chip from the Sports Club premises is not allowed.
3.2. All Sports Club cards are personal and are only valid for the card holder. In the event of a card being given to another person to use a service, the Sports Club has the right to suspend or cancel the use of the service. Money will not be refunded for any unused service.
3.3. If the card is lost, the client is obliged to immediately inform the Sports Club thereof. If needed, a new card will be issued to the client for a fee.

 

4. CLIENT’S RESPONSIBILITY

4.1. By paying for a service, the client confirms that they are familiar with and agree to follow the regulations of service and house rules of the Sports Club and that they have the appropriate physical skills and abilities and level of health to use the purchased services.
4.2. In the event of ignoring the regulations of service and house rules or rude behaviour, the Sports Club has the right to cancel the client’s right to use the Sports Club and not refund money for any unused services.
4.3. A client of the Sports Club must be aware of the condition of their health and is responsible for their well-being and health. In the event of a special diagnosis the client is obliged to notify their trainer. The Sports Club is not responsible for potential trauma or accidents during training that are caused by the client’s own activity or occur by chance.
4.4. The client is obliged to observe both training times and opening hours.
4.5. The client is obliged to return their chip and key after a training session. In the event of losing or not returning the key and chip, the client must compensate the damage according to the price list.
4.6. The Sports Club is not responsible for personal belongings left in dressing rooms or general areas. Valuable items, documents, mobile phones et al. can be left with the administrator in storage lockers for the duration of training.

5. RESPONSIBILITY OF SPORTS CLUB

5.1. The Sports Club provides paid services according to the terms and conditions stated in the price list. Sports Club staff can provide additional information about the services. New clients are provided with either one free introductory try-out training session in one area of recreational sports or a free try-out training session in one group session of the Fitness Club and two free try-out training sessions in one area for students of the Sports School.
5.2. Trainers in the corresponding hall of the Sports Club instruct and consult clients of the club in regard to using equipment.
5.3. The Sports Club is obliged to keep existing equipment and items in working order. Broken items will be fixed within a reasonable time.
5.4. The Sports Club retains the right to restrict the number of clients training in the fitness room and group training simultaneously so as to ensure appropriate training conditions and safety measures.
5.5. The Sports Club retains items left in rooms for one month from the time they are found. If during that time the owner of the items does not collect them, the Sports Club gives the items to charity or a recycling centre, or in the case of items not suited to either, destroys them.
